General Summary of role: The Project Coordinator (PC) with 4+ years of experience responsible for overseeing and managing projects from initiation to completion, ensuring they are completed on time, within scope, and within budget. The PC would coordinate with cross-functional teams, stakeholders, and third-party vendors to ensure project goals and objectives are met efficiently and effectively.

Essential Duties and Responsibilities:

  • Project Planning & Execution:
  • Define project scope, goals, and deliverables in collaboration with stakeholders.
  • Develop detailed project plans, including timelines, resource allocation, and budget estimates.
  • Monitor project progress and make necessary adjustments to ensure objectives are met.
  • Stakeholder Communication:
  • Serve as the primary point of contact for all project-related inquiries.
  • Communicate project status, risks, and issues to stakeholders and senior management.
  • Facilitate meetings, workshops, and presentations to gather requirements and provide updates.
  • Team Leadership & Management: Lead cross-functional teams, assigning tasks, setting priorities, and ensuring accountability.
  • Motivate team members, resolve conflicts, and foster a collaborative working environment.
  • Conduct regular team meetings to review progress, address challenges, and ensure alignment.

Risk Management:

  • Identify potential risks, issues, and dependencies associated with the project.
  • Develop risk mitigation strategies and contingency plans to address challenges proactively.
  • Monitor and evaluate project risks throughout the project lifecycle, implementing corrective actions as needed.

Quality Assurance:

  • Establish quality standards and ensure compliance throughout the project lifecycle.
  • Conduct regular quality reviews, audits, and assessments to identify areas for improvement.
  • Ensure deliverables meet predefined specifications and stakeholder expectations.

Budget & Resource Management:

  • Develop and manage project budgets, tracking expenditures and forecasting costs.
  • Allocate resources efficiently, ensuring optimal utilization and productivity.
  • Negotiate contracts, agreements, and procurement of necessary resources or services.

Documentation & Reporting:

  • Maintain comprehensive project documentation, including project plans, schedules, and status reports.
  • Prepare regular progress reports, presentations, and dashboards for stakeholders and senior management.
  • Ensure compliance with organizational policies, procedures, and regulatory requirements.

  • Knowledge of industry-specific regulations, standards, and best practices.
  • Experience working with cross-functional teams and diverse stakeholders.
  • Familiarity with Agile, Scrum, or other project management frameworks.
  • Strong financial acumen and budgeting skills.

Educational/Vocational/Previous Experience Recommendations:

  • Bachelor's degree in business administration, Project Management, or related field; PMP or equivalent certification is a plus.
  • Proven experience in project management, with a track record of successfully delivering complex projects on time and within budget.
  • Strong leadership, communication, and interpersonal skills.
  • Proficient in project management tools, software, and methodologies.
  • Excellent problem-solving, analytical, and organizational abilities.
  • Ability to work independently, multitask, and prioritize tasks effectively.
