How we helped a leading healthcare provider Enhance Productivity, Accuracy and User Experience with Clinic Schedule Management Application with Automation

Introduction:

In the healthcare industry, seamless provider Clinic Schedule for patient appointments is critical for providing accurate and timely care. Our client (A leading Healthcare Provider from the North American Region) faced the challenge of streamlining provider clinic schedule management & approving clinic schedule cancellations. This was managed with MS Excel leading to errors leading to confusion & miscommunication to patients regarding clinic schedule changes of their providers and a lot of non-value-added time spent on manual work with Excel sheets. Recognizing the need for a more efficient solution, our technical team embarked on developing a novel approach by developing an application using Power Platform capabilities with seamless approval workflows & email notifications to the stakeholders.

Challenge:

The existing process involved manual data entry and comparison, leading to inefficiencies and the potential for errors. Healthcare professionals were spending valuable time navigating between the Excel Sheets, impacting productivity and increasing the risk of inaccuracies in clinic schedule of providers due to ad hoc changes & cancellations in the OPD schedules.

Solution:

To address these challenges, our technical team designed and developed an application using PowerApps, Power Automate with SharePoint List that seamlessly helped in managing the OPD clinic schedules of the providers based on the master data. This innovative solution allows healthcare professionals to access relevant clinic schedule timings on a weekly view screen directly within the context of their workflow, eliminating the need to switch between Excel sheets.

Technology- PowerApps, Power Automate, SharePoint, JSON. This application is reusable & has been implemented at 3 locations successfully. This can be easily used whenever new clinic locations are started.

Key Features:

  1. Calendar weekly view- Provides easy access to view OPD clinic schedules of the providers based on the master data for a particular location.
  2. Master Template Change-Application directly allows changes in master template for Admin User role.
  3. Master Template Import-Application allows importing of the standard master template based on which weekly view of the clinic schedule is populated for the selected location.
  4. Holiday Setup-Application highlights annual holidays on the weekly view to avoid incorrect clinic OPD being scheduled on a holiday.
  5. Provider Management-Application allows CRUD functionality of all providers with their unique codes.
  6. Location Management- Application allows CRUD functionality of all locations with their unique codes.
  7. Zone Management- Application allows CRUD functionality of all zones for specific locations & allows flexibility to make changes in the zones.
  8. Update Status Board- Real time reflection of changes in the clinic schedule on the Status Board for ready reference for office staff & patients.

Results:

The implementation of the CLinic Schedule Application has led to significant improvements in productivity and data accuracy:
